We are an all-remote company which means lots of meetings! Following the guidelines below helps us remain productive whilst organizing or participating in meetings.

As the Organizer:

  • All meetings should have an Agenda and Objectives / Success criteria (the attendees don’t have to attend if these aren’t included).
  • If someone hasn’t responded, then assume they’re not attending (or they may attend, but that’s not confirmed).
  • Be conscious of people’s diaries - always check in Google Calendar prior to booking a meeting.
  • Google Meet is used for all meetings.
  • Feel free to add a virtual notetaker to external meetings (as long as it’s not confidential), but don’t take offense if people want to exclude it - we have a love-hate relationship with them!
  • Avoid recurring meetings where possible - they clog up diaries!
  • Respect your participant’s time and keep comments brief and to the point.
  • Leave enough time at the end for wrap up and next steps without running over.

As an Attendee:

  • It is okay to leave a meeting politely if it’s not relevant or you’re not getting value from it.
  • Show up on time and come prepared.
  • Come to the meeting with a positive attitude.
  • Be patient when listening to others speak and do not interrupt them.
  • If you feel like you can’t jump into a conversation, raise your (virtual) hand.
  • Attack the problem, not the person.
  • Respectfully challenge the idea, not the person.
  • If you are going to be more than a couple of minutes late, please let the organizer know.
  • We all have bad hair days, but we encourage everyone to have their cameras on (it can be very difficult to speak to a blank screen).
